Follow up without chasing all day

Know when it is your turn to act and when you are waiting on someone else.

You ask Claude how to follow up without sounding pushy.

Show who has the next move

If you have done your part and need an answer, mark the task Pending response. This means you are waiting on someone else. It is different from work you have not started.

Add a note about what you asked for and when you asked. For example: “Sent the draft on Monday. Waiting for Lee to approve the budget.” Now you do not need to search the chat to remember what happened.

Choose a fair check-in date. A slow reply does not always mean someone is ignoring you. Think about the deadline, the relationship, and any timing you agreed on.

Do this now

Pick a task where you need someone’s reply. Mark it Pending response and add what you asked for and when. Choose a fair check-in date.

Use Claude to prepare the message

Share the key details and ask for a short draft. A good follow-up reminds the person of the topic and says what you need next. Read it before you send it.

If you have an email tool connected to Claude, check what it can do. Do not assume every tool can send messages. If it cannot read the email, paste the details it needs.

After you send the message, update the task note with what really happened. If a reply comes in, decide what is next. You may need a new action, or the task may be complete. Check any change Claude saves.

Do this now

Ask Claude to draft a short check-in for that task without sending it. Review the draft. If you send it yourself, update the task note with what really happened.

Ask Claude

Review my Pending response tasks in ScoutTracker. Which ones may need a check-in? Use the notes and timing we agreed on. Draft a short, friendly message for [task]. Do not send it. After I tell you what happened, help me update the note and status.
